Key Responsibilities

General Clerical Support

  • Record, organize, store, capture, and retrieve correspondence and data.
  • Update registers and statistics regularly.
  • Handle routine inquiries effectively.
  • Manage photocopying and facsimile services.
  • Distribute documents and packages to stakeholders.
  • Maintain a comprehensive filing system.
  • Draft and type letters and correspondence.
  • Maintain an incoming and outgoing document register.
  • Take and draft minutes for meetings.

Supply Chain Clerical Support

  • Liaise with internal and external stakeholders regarding procurement.
  • Obtain quotations and complete procurement forms.
  • Manage stock control of office stationery.
  • Maintain the asset register for the component.

Personnel Administration Clerical Support

  • Maintain the leave register for the component.
  • Keep and maintain personnel records.
  • Manage the attendance register.
  • Arrange travel and accommodation for staff.

Financial Administration Support

  • Capture and update component expenditure.
  • Verify correctness of subsistence and travel claims.
  • Handle telephone accounts and petty cash.
